Rules run top to bottom on each email's sender, subject and body. The first rule that sets a field wins. Anything left unset defaults to General · Medium.
Connect Outlook
- Bring in his Outlook calendar
Classic Outlook: open the calendar, then File › Save Calendar, pick a date range and save the .ics file. Outlook on the web: Settings › Calendar › Shared calendars › Publish a calendar, then open the ICS link to download it. Meeting invites (.ics attachments) work too. Re-importing updates events instead of duplicating them. Recurring meetings are filled in for the next four months.
- Send jobs and events back to Outlook
Exports a calendar file of the next 14 days of jobs and events. Double-click it, or in Outlook use File › Open & Export › Open Calendar. Each item also has its own "Add to Outlook" button.
- Sort email into action items
In Outlook on the web or new Outlook, open an email, then ··· › Download (saves .eml). In classic Outlook, File › Save As › Outlook Message Format can't be read here, so choose "Text Only" or forward the email and paste it. Drop the files on the Outlook inbox tab and the rules do the rest.
- Live sync with Claude (optional)
Connect Microsoft 365 in claude.ai › Settings › Connectors, then install the Blue Sky Outlook plugin. Ask Claude to "triage my inbox for the service desk". It reads new mail with these rules, adds calendar events in Outlook, and writes an import file you load with the button below.
